Where do I find the reporting tool?
You can find the reporting tool here or by contacting your college recordkeeper. It will also be available on Canvas.
What happens when I enter a violation?
When you enter a violation you will be given an option to offer the student the warning/workshop (Accepting Responsibility) or your plan to hold a primary hearing. This choice triggers an email based on your choice. If you plan to hold a primary hearing we will send you a template letter to complete and email to the student. If you want to offer Accepting Responsibility we will check for eligibility and then offer it to the student by email.
What is shared with the student?
There are many stages in the process and each one shares different information. If you offer Accepting Responsibility then the student will see the evidence summary and the assignment penalty. If you are filing a completed primary hearing decision the student will receive an email with the evidence, penalty, and appeal process.
What is the best order to report the violation?
Ideally you will enter the initial information of the violation or suspected violation into the Report a Violation record before formally contacting the student. After you hold the Primary Hearing you can update the violation with your decision and penalty.
What if I already notified the student of a primary hearing by email, do I still have to use the tool?
Yes, please create a new record and enter the information. You can ignore the automated email that we send. After the hearing please update the record to include the evidence and penalty. This will generate an email to the student that includes this information and the appeal process. It will also update the student record with the violation. (You do not need to email the recordkeeper separately.)
I have made my decision about the violation, how can I update an existing case?
Use the same reporting tool and choose Update a Violation. A list of your cases will appear at the bottom of the page. Select the student and complete the information. After you submit this information a notice will be sent to the student. This will contain the decision, penalty, and appeal rights.
Who can see this information?
The information entered into AIR is viewable by the Academic Integrity staff and AIHB recorders.
Will I know if a student has past violations?
No. Your evaluation of the evidence and assignment of penalty should be limited to the facts of the student’s work in your course.
Can I upload files to show evidence of the student’s work?
Yes. They can be up to 10 mb per file. You may be required to compress multiple files.
What notifications will I receive?
You will get an email confirming your submission of the violation. If you need to hold a primary hearing we will send you a template email for you to complete and send to the student. If the student is attending Accepting Responsibility you will be notified upon enrollment and completion.
How are appeals handled?
If you find the student guilty of the academic integrity violation then you will enter that into the Academic Integrity reporting tool. This will generate a letter to the student which will include the appeal process. The student will get a link to file an appeal which will be scheduled by the AIHB recordkeeper.
Can I see the past violations I have sent to my college prior to Fall 2026?
Contact your AIHB recordkeeper to create a secure file for you to review. The Academic Integrity Registry will show past submissions from Aug 24, 2026 forward.
